Overview

All certified clients must read through these rules thoroughly and comply with all requirements outlined herein. This document establishes the fundamental rights and responsibilities of organizations certified by First Wave International Certifications (FICPL).

Client Duties and Responsibilities

Organizational Changes

Advance Notification Requirements

If there are any changes in the organization, clients must inform FICPL regarding changes beforehand. This includes but is not limited to:

  • Legal changes and modifications
  • Ownership-based alterations
  • Organizational restructuring
  • Commercial changes and business modifications
  • Contact address changes
  • Scope of duty changes
  • Changes in top management cadre
  • Key personnel modifications
  • Operational scope adjustments

Notification Timeline

All organizational changes must be communicated to FICPL immediately upon decision or as soon as practically possible, but no later than 30 days before implementation.

Logo Utilization and Certification Status Reference

Logo Usage Guidelines

Clients must read through and comply with all logo usage details published on the FICPL website. Proper logo usage is mandatory and subject to regular monitoring and compliance verification.

Certification Reference Standards

  • All references to certification status must comply with FICPL guidelines
  • Certification claims must be accurate and within approved scope
  • No misleading statements regarding certification are permitted
Audit Coordination Requirements

Surveillance and Re-certification Audits

Clients must coordinate with FICPL in a timely manner for:

  • Surveillance audits as scheduled
  • Re-certification audits within specified timeframes
  • Special audits when required

Timely coordination prevents certification suspension and ensures continuous compliance with certification requirements.

Update Requirements

When contact details of the organization change, certified organizations must:

  • Intimate FICPL in advance of any changes

  • Maintain current emergency contact procedures

  • Email updates to designated FICPL contact
  • Written notification for major contact changes
  • Phone confirmation of critical updates
  • Website portal updates where applicable

Verification Process

To verify certification status, clients should:

  • Visit the FICPL website www.
  • Navigate to the verification link
  • Enter the unique certification number
  • Click the search button
  • Check the status of the particular client

If you do not have your certification number, contact FICPL directly through official communication channels for assistance.

General Guidelines and Compliance Requirements

Communication Standards

Media and Documentation Compliance

Client companies must comply with guidelines established by FICPL when referring to certification status while communicating through any media, including:

  • Marketing brochures and materials
  • Advertisements in any format
  • Official documents and correspondence
  • Social media platforms

Prohibited Activities

Misleading Statements

  • Client companies must never make misleading statements pertaining to their certification

Illegal Usage Prevention

  • Client companies must not use certification in any illegal manner toward the public
  • Certification credentials must not be used for fraudulent purposes
  • All usage must comply with applicable laws and regulations

Post-Suspension/Withdrawal Requirements

  • After withdrawal or suspension of certification, client companies must immediately refrain from using any reference to certification in all advertisements
  • All marketing materials must be updated to remove certification references
  • Digital platforms and websites must be updated promptly

Scope Reduction Compliance

  • When certification scope is reduced, client companies must rectify mentions accordingly on all advertisements
  • Updated scope information must be reflected in all marketing materials
  • Historical claims must be corrected to reflect current certification status
Certification Representation Standards

Product and Service Clarification

  • Client companies must not mention certification in a manner that might suggest FICPL certifies the products and services of the company
  • Clear distinction must be maintained between system certification and product approval
  • Certification applies to management systems, not individual products or services

Scope Limitations

  • Clients must not misrepresent certification from FICPL regarding any activity outside the scope of certification
  • All certification claims must be within the specific scope granted by FICPL
  • Activities beyond certification scope must not reference FICPL certification

Professional Representation

  • Client companies after certification must not represent it in any manner that projects FICPL with disrespect in the market
  • Professional and accurate representation of FICPL and certification status is required
  • All communications must maintain the integrity and reputation of FICPL

When dealing with any individual claiming to be a FICPL representative:

  • Verify credentials through the official FICPL website
  • Contact FICPL directly to confirm representative status
  • Request official identification and authorization
  • Report any suspicious or unauthorized representation attempts

Official Communication Channels

  • All official FICPL communications will come through verified channels
  • Clients should verify unusual requests through direct contact with FICPL
  • Maintain records of all official communications with FICPL representatives

Client Rights
